Data & Operations Specialist

As a Data & Operations Specialist, you'll own the systems and data that keep Constellation running, maintaining CRM operations, debugging automations, and building the integrations and reports that teams across the org rely on every day.

About Constellation

Constellation is an independent research center that brings together people throughout the AI safety ecosystem to accelerate insight, research, and talent through better cooperation. Unlike a conference or summit, Constellation operates continuously, in the form of a physical workspace as well as conference-style talks, workshops, and training bootcamps. Continuous operation allows for relationships and conversations to develop over time, meaningfully fostering trust, collaboration, and shared insight. It also makes Constellation a natural field-building hub by rapidly inspiring, orienting, and connecting people who are newer to the field.

Based in Berkeley, CA, our shared workspace hosts over 200 people per week across dozens of AI safety organizations in nonprofits, academia, industry, and government. Hundreds of other researchers spend time at Constellation for shorter visits each year. We believe this is the strongest and highest-output network of AI safety researchers in the world; dozens of participants in past Constellation programs have gone on to safety-focused roles at companies such as METR, Redwood Research, Anthropic, Google DeepMind, OpenAI, and the US and UK Safety Institutes.

About the Role

We are seeking an operational and technically-minded Data & Operations Specialist to own day-to-day CRM operations and system integrations at Constellation. You’ll be the person who keeps our data accurate, our automations active, and our integrations running across a variety of systems.

This is a hands-on, technical role with lots of opportunities to collaborate with internal stakeholders across the org. On a typical day, you might debug a broken automation that's generating duplicate records, build a new HubSpot report for a program manager, import a batch of historical event data, or add a new staging model to our data warehouse. You'll report to our data & systems lead and work closely with program managers, operations coordinators, and external contractors.

Key Responsibilities

  • Data operations
    • Collaborate with program managers and operations staff to solve their data needs in sustainable and scalable ways.
    • Own day-to-day functioning of automations that add or remove people from software systems, ensuring timely on- and offboarding.
    • Own data integrity: ensure records have data in required fields, ensure records that should exist do exist, and that overall CRM data is up-to-date.
    • Own user identity management, giving people who interact with Constellation a consistent internal ID across all our systems; including designing better ways to deduplicate.
    • Manage data imports, exports, and migrations to/from a variety of sources
  • Systems
    • Build new automations and integrations to save staff time and provide new capabilities to the team.
    • Own integrations between Hubspot, Airtable, Envoy, Robin, Slack, and Brivo; debugging issues, keeping data in sync, making sure it's flowing correctly and in the right format.
    • Administer the Constellation Slack, including using API integrations to save staff time on complex tasks.
    • Own and maintain the business intelligence data pipeline. This includes adding data sources, debugging pipeline failures, and keeping data flowing from source systems into reports.
  • Reporting & Communications
    • Create and maintain dashboards and reports in HubSpot and/or BI tools for program managers and leadership.
    • Maintain and segment mailing lists in Hubspot; support Program Managers in sending emails through sequences.
    • Document our systems, processes, and integrations to create shared knowledge and protect business continuity.

Skills & Experience

  • Experience with CRM administration (HubSpot preferred, but Salesforce or similar is relevant).
  • Familiarity with Git and command-line workflows.
  • Experience with or willingness to quickly learn: Hubspot CRM, Airtable, Slack Enterprise Grid, dbt, DuckDB/MotherDuck, Dagster.
  • Experience using agentic AI to safely manage complex workflows and write code.
  • Familiarity with APIs (You don't need to be a software engineer, but you should be comfortable reading API docs and troubleshooting with LLMs)
  • Demonstrated interest working for mission-driven organizations or causes

Nice-to-have:

  • Experience with data warehouse design or business intelligence tools.
  • Experience administrating Slack Enterprise Grid, using SCIM and/or in a multi-workspace environment.
  • Comfort writing SQL.
  • Familiarity with API integrations, including REST APIs, webhooks, OAuth.
  • A bachelor’s degree or higher in statistics, computer science, data science, economics, or a related field; or equivalent practical experience.

Compensation & Benefits

For the San Francisco Bay Area, the compensation range $109,000 - $130,000.

Additional Details 

This is a full time, on-site role. Our Berkeley office is a few steps from the nearest BART (metro) and bus stop. On-site parking is also available.
