Program Operations Generalist

We’re excited to onboard an Program Operations Generalist to support the many programs that we run.  This role involves wearing many hats, including site operations, event coordination, and Constellation member support.  The ideal candidate will be skilled with high level project management and ready to do hands-on operational tasks.

Constellation is a nonprofit research center whose mission is to help the world navigate the development of superhuman AI. We host and support researchers from nonprofit organizations, universities, companies, think tanks, and government. Our programs foster knowledge sharing and collaboration across the AI safety field.

We’re seeking a Program Operations Generalist to increase our team’s capacity and scale up our impact.  Reporting to the Director of Operations, you will be responsible for a flexible portfolio of operations projects to support and enable our AI safety research center and programming. 

The exact scope of responsibilities will depend on your experience and areas of expertise. It will include some combination of: recruiting operations, IT management, CRM administration, marketing operations, workspace design, and/or facilities management. 

The ideal candidate has significant professional experience in 1-2 of these domains in a fast-paced and dynamic work environment. (The vibe and pace is much closer to a growing startup than a traditional nonprofit.) In this cross-functional role, you’ll work closely with both our Operations and Programs teams. You’ll also get to interact with and support many of the world’s top AI safety experts. 

This is an in-person, full-time position. This role requires being onsite from 9am-5pm on weekdays. Periodic work is required on evenings and weekends, e.g. when hosting events or handling urgent issues.

Example Responsibilities

The scope can be tuned to focus on particular areas of expertise, or to accommodate a generalist who thrives on variety. Potential responsibilities could include:

Recruiting operations

  • Managing our hiring pipeline
  • Reviewing job applications and conducting screening interviews
  • Overseeing on-site recruiting and work trials
  • Negotiating offers and winning over promising candidates

IT operations

  • Developing a roadmap for IT improvements and upgrades
  • Selecting and managing IT vendors
  • Planning and implementing IT projects (for example, upgrading our guest sign-in kiosks)
  • Configuring and troubleshooting A/V equipment

CRM / Marketing Operations

  • Managing and growing our database of AI safety talent
  • Creating workflows and rules to streamline and automate our processes
  • Building new views and reports to improve visibility and user experience
  • Planning and overseeing custom integrations

Workspace Design / Facilities Operations

  • Managing vendor and contractor relationships
  • Identifying and scoping potential improvements to our collaborative workspace
  • Designing new room layouts and workspaces
  • Researching and purchasing furniture, equipment, and decor
  • Monitoring desk, office room, and meeting utilization

Skills Needed

  • Experience owning one or more of the above operations domains at a fast-growing organization
  • Able to reliably track, manage, and prioritize a high volume of tasks, threads, and deadlines
  • Experience balancing urgent, day-to-day requests with longer-term initiatives 
  • Skilled at synthesizing complex and ambiguous situations into concrete, cohesive plans
  • Excellent at tracking project progress and consistently hitting key milestones
  • Able to gracefully set and maintain clear expectations
  • Can drive partially scoped projects to the finish line
  • Enjoy hands-on operations work
  • Clear, concise written communication
  • Experience managing relationships with external vendors and partners (preferred, not required)
  • Experience using Slack, Asana, and/or CRM tools (preferred, not required)

Compensation

Compensation will depend on experience and will likely be in the range of $90,000-140,000/year.

Additional Details 

This is a full time, on-site role. Our Berkeley office is a few steps from the nearest BART (metro) and bus stop. On-site parking is also available.

We would like the candidate to start as soon as possible after receiving an offer, but we are open to start dates anytime in Q4.
